Montreal CoWork, a 30 000 sq. ft. coworking space situated in the heart of the Plateau-Mont-Royal, has been operating since 2016. Led by local entrepreneurs and powered by an incredible mix of cultures, professions, and talents, the collaborative workspace’s mission is to offer an environment in which a strong and passionate entrepreneurship community can thrive. Montreal CoWork proposes warm and energizing spaces designed to adapt to the needs of growing companies and those of the self-employed with a variety of services from a virtual office to meeting rooms, through events, coaching, and workshops.

Challenges

In order for Montreal CoWork to provide its members with the working environment in which their projects can flourish, they needed to replace the legacy software previously in use, which required extensive employee training and was overly complicated to use, both internally and for clients, with a robust management software.

With their wide range of services and energizing customer experience at the centre of their business model, they need the right management software for the coworking members to provide a seamless user experience and clever and efficient admin tools on the back-end.

Essentially, Montreal CoWork wanted a platform to facilitate everything from the booking process to invoicing and billing to workplace analytics and reporting.

On the member side, it was imperative that the reservation process would be straightforward and easy to use and that a check-in feature be included. Moreover, they wanted a platform that would allow for the invoicing to be sent at the end of a booking rather than at the beginning to avoid unnecessary friction related to multiple invoices in the instance where members purchased add-on services during the booking period.

On the admin side, Montreal CoWork wanted a coworking management system that would not only automate the bulk of their accounting operations but also support a pro-rata feature for invoicing and billing purposes. Furthermore, they wanted their new software to provide insightful reporting on space inventory and usage to have a clear overview of how to further optimize or expand the space.

Solutions

With Archie’s intuitive management software, Montreal CoWork was immediately able to counter the ineffectiveness of the flow of operations created by their previous platform and bring their performance back up.

Revamping the reservation process entirely, Archie’s management software created a simpler booking process with check-in feature for the collaborative space requiring no employee or client training whatsoever which helped reduce friction. Booking spaces both from the website and the mobile app then became a much more simple and pleasant experience for their users.

Using our straightforward software, much of their membership management operations were automated, freeing up some of the administrative burdens. With Archie, Montreal CoWork is now able to automate billing to be sent out at the end of a reservation, as well as smart automation for pro-rata member invoicing.

To support the coworking space in optimizing the workspace, Archie provides useful analytics tools such as usage, occupancy and revenue tracking. Key reports on data collected can be easily and quickly accessed from the desktop dashboard and can also be exported in just a few clicks. This helped them with the forecasting of revenue occupancy as well as providing better insight on the inventory and the history of the offices.

Archie helped Montreal CoWork in creating a highly functional and engaging workspace for their members while relieving them from the administrative burden through seamless booking processes and smart automation. They are now able to shift their focus back to perfecting their services and operations.
